- Create one row per organization with a contact owner, first outreach date, request type, and next follow-up date.
- Keep proposal, response, amount or item, and approval status in separate columns.
- Record only confirmed recognition details—such as a banner location or program listing—after the league approves them.
- Mark received funds or goods separately from promised support and attach the approved receipt or handoff note.
- Close each row with an outcome and a thank-you date.
Setup notes
Agree on the tracker owner and shared storage before outreach begins. Limit access to the people who need it for league work.
Coach cues

- Use dates, not vague notes like 'follow up soon'.
