Parent Welcome Letter for Youth Sports

A first-message template that tells families what the season will feel like, what players need, and how communication will work.

Audience: First-time and returning youth coaches preparing for a parent meeting or opening email.

How to use it

A first-message template that tells families what the season will feel like, what players need, and how communication will work.

  1. Open with the team's purpose: players learn, move, and feel welcome.
  2. Fill in practice location, arrival window, pickup process, uniform or equipment notes, and the one official communication channel.
  3. State player expectations in plain language: listen, try, respect teammates, and ask for help.
  4. State parent expectations: support from the sideline, timely updates, and direct questions through the agreed channel.
  5. Close with the next action and a reminder to review league-specific safety or weather notices.

Setup notes

Replace every bracketed detail before sending. Have the league confirm any policy language, then send one digital copy and bring a few printed copies to the first meeting.
